Staff Card

| The staff file is the area where all the details about the staffs are stored, it is vital that these details are stored accurately and are well maintained as the information stored here is used in the booking and reporting sections of the system. The staff file is split into two parts the top part is the basic staff details, while the bottom half is shows staff working hours, holidays, skills, record and system permissions. If you change any staff details you can save it by pressing the save button on the right of the staff file, to save and close the file press the OK button on the right of the staff file and to close without saving the file press the Cancel button. You can also create a brand new staff file by pressing the Create New button, this will close the existing file and load a blank staff file.

| The staff card has five buttons vertically organised on the right hand of the card they are titled and function as follows:

| Create new the create new button can be used to add a new staff directly from an existing staff card; this is particularly useful when adding several new staff one after another. If the create new button is pressed the current staff card will be saved and a black staff card will replace it.

| Print receipt the print receipt button is only highlighted when a transaction is selected on the staff card for example in the history section of the card. When the button is pressed a screen will appear showing the appropriate receipt, to print the receipt press the print button, to cancel press the cancel button.

| Save the save button allows any amendments to the staff card to be saved; this can be pressed anytime an amendment has been made to the staff card.

| Cancel the cancel button will close the staff card cancelling any amendments that may have been made whilst the card has been open. If changes have been made the user will be given a warning asking if they are sure they wish to close the card without saving the amendments.

| OK the OK button closes and saves the selected staff card.

| What follows is a description of all the tabs currently available on the staff card.
|
| The staff details part of the staff file shows basic staff details: name; password this cannot be seen, so if a staff member forgets or wants to change their password press the reset button, their password will then be reset to 'password' so the next time they logon will be prompted to change it; user type this should be set to normal user for members of staff and administrator for managers, select this by clicking on the arrow and selecting the appropriate level; address; post code; employment date this should be set to the first day the staff member appears on the booking screen, their real start date is usually stored as the first entry in the record tab, along with National Insurance and Payroll number (if they have one); telephone number; mobile number; date of birth; pay per hour; therapist tick this if you want them to appear on the booking screen; receptionist tick this if the staff member can work on reception; notes.

| The second part of the staff card is split into tabs which can be navigated through by clicking on the appropriate heading. Whenever a staff card is opened it will automatically open into the tab Standard Time Table. Some tabs are also then further split into more tabbed sections.
